    Looking for

    A bomb-ass hourly Executive Assistant to a Mindset Coach/Podcaster

    You are this kind of person:

    • You are an executor. A self-motivated, detail-oriented DO-ER with a killer attitude. Like, killer.

    • You are organized AF; You organize projects, technology and your time like a wizard. You love streamlined, repeatable systems, and it’s second nature for you set them up for yourself and others

    • You are not intimidated or overwhelmed by learning new things and failing fast to get it right next time.

    • You work quickly and teach yourself things on the internet 24/7

    • “New” and “different” doesn’t intimidate you; neither does being managed by a big personality with a direct communication style.

    Musts:

    • At LEAST one year’s experience in some type of virtual assisting or online marketing.

    • Must be a team player and work well with others.

    • Coachable and able to give and receive direct feedback

    • Must be super detail oriented AND able to work with and manage the backend of the business for someone with a different style than you

    • Experience with Canva for Business, Mailchimp, Zoom, Instagram, Facebook, Squarespace; Podia (bonus)

    • Client Management, Customer Experience

    • Be the touch point for and organization system for 1:1, Mastermind and Group Coaching Program Clients

    • Monthly scheduling emails

    • Email 1:1 clients their call recordings

    • Reminder emails before a program starts

    • Payments in Stripe (and Podia)

    • Contract creation and management

    • Uploading group call recordings

    Email Software Expert:

    • *Currently using Mailchimp, but desiring to switch to Flodesk or a more user-friendly platform and to bring on someone who is ready to meet this challenge and take the lead in making our new system super clean and strong

    • Easily and quickly create segments, tags, lists, waiting lists, automations for a launch sequence, new product, etc.

    • Set up everything behind the scenes of an email sequence (except for copywriting)

    • Take my copy for launch or weekly email and put it into beautiful email templates

    • Design email templates

    Graphic Design:

    • *Must have operating knowledge of Canva for Business and an eye for graphics that work on Instagram and on websites and landing pages

    • Create graphics and story sequences to support each launch or podcast episode

    • Design email templates

    • Design IG graphics for programs and accompanying Facebook groups, when necessary

    • Minimal design for sales pages, landing pages, product pages, etc.

    Launch Sequences

    • *I launch many paid and free offers, plus am in the middle of rebranding my podcast. Looking for an assistant to support the backend details of this entire journey. I will write all the copy, but looking for what could be compared to as a “Day of Coordinator” for launches

    • Create sales and landing pages on Podia or Squarespace (subject to change)

    • Create email sequences + maintenance emails (connect with G on how many, when, be her project manager for this, make sure automations and tags are on POINT)

    • Oversee Zoom links (setting them up, including them in emails, including recordings in follow-up emails)

    • Opening Facebook group when needed

    • Website (Squarespace)/Podia Upkeep (systems subject to change)

    • Create product pages and sales pages (with copy from Gervase) on Squarespace and Podia

    • Light design work for pages (include photos, testimonials) - make them in line with brand and always be maximizing them to convert and tell a story (be a second set of eyes for this goal)

    • Create payment plans in Stripe that integrate with these pages

    • Create email lists and calendly links that integrate with these pages

    I make small pivots in my business often. I’m currently building a strong strategic foundation underneath what I’ve built in the past 8 years—this includes the funnel and a beautiful podcast—and I honor the energy of me as the creative in my business with almost 8 years under my belt and a loyal following. I am a Human Design Projector, which means I get huge bursts of potent energy and I create like a maniac during those bursts and need someone who is a can-do girl (or guy!) who gets this about me and is ready to move when I move! And, someone who can hold all the details of the backend of my business, so that whether I’m in a sprint of creation OR a rest period where I’m serving clients on calls all day and refilling my tank, nothing else falls through the cracks and everything is rock solid with the automated, scheduled out taks, overseen by YOU. Ideally, you will naturally take on the responsibility of creating systems and structures to streamline many of your weekly/monthly tasks with clients, etc and then fill me in on it. I’m also looking for someone who isn’t intimidated by direct feedback (lovingly, always!) and takes ownership for their work and their life. Bonus if this person is on their own personal growth path or enjoys and appreciates the work I do and the world I’m in. There is a huge opportunity to grow in this role and become my ride-or-die point person as I scale this year. I’m looking for the person who could delegate tasks to other members on my team in the future and handle the backend of my business like a boss.
